Flags are color-coded labels you assign to contacts to segment, organize, and target your audience. Think of flags as tags or categories that help you build precise contact lists for campaigns, track contact status, and maintain compliance. Flags are the foundation of effective contact segmentation.

Use flags to build targeted campaign audiences. Select contacts with specific flags (e.g., "Hot Lead", "Follow-up Needed") to create precise campaign lists.

Lead Qualification

Track lead quality and status with flags like "Hot Lead", "Warm Lead", "Qualified", or "Not Interested". Organize leads by priority and readiness.

Compliance Management

Maintain compliance with flags like "Do Not Call", "Opt-out", or "DNC List". Exclude these contacts from voice campaigns automatically.

Lifecycle Tracking

Creating Flags

Follow these steps to create a new flag for organizing your contacts.

Step 1: Navigate to Flags

    Go to Flags: Navigate to Flags in the main navigation menu.

    Click Create Flag: Look for the Create Flag button, typically at the top of the flags list.

Step 2: Enter Flag Information

Required Fields

  • Name: Enter a short, descriptive name for the flag (e.g., "Hot Lead", "Do Not Call", "VIP"). Keep names concise and clear.
  • Color: Choose a color to visually distinguish this flag. Colors help you quickly identify contacts by their flags.
  • Status: Set to Active to make the flag available for use. Set to Inactive to hide it without deleting.

Naming Tips: Use clear, consistent naming conventions. Examples: "Hot Lead", "Do Not Call", "VIP Customer", "Follow-up Needed". Avoid vague names like "Flag 1" or "Test".

Step 3: Save the Flag

Click Create Flag or Save to create the flag. Once created, the flag will appear in your flags list and can be assigned to contacts.

Once you've created flags, you can assign them to contacts and use them for filtering and targeting.

Assigning Flags to Contacts

You can assign flags to contacts in several ways:

When Creating Contacts

Select one or more flags from the dropdown when adding a new contact. The flags will be assigned immediately.

When Editing Contacts

Edit an existing contact and add or remove flags. You can assign multiple flags to the same contact.

Filtering Contacts by Flags

Use flags to filter contacts and build targeted lists:

  1. Go to Contacts and use the filter/search options
  2. Select one or more flags from the filter dropdown
  3. The contacts list will update to show only contacts with the selected flags
  4. You can combine flag filters with search terms for precise targeting

Multiple Flags: When you select multiple flags, the filter shows contacts that have ANY of the selected flags (OR logic). For example, selecting "Hot Lead" and "VIP" shows contacts with either flag.

Using Flags in Campaigns

Flags are essential for outbound campaigns. When creating an outbound campaign:

  1. Create your campaign and select it as "Outbound" type
  2. In the campaign form, you'll see a "Select flags" dropdown
  3. Select one or more flags that define your target audience
  4. The campaign will automatically include all contacts with the selected flags

Example Campaign Setup

For a "Hot Lead Follow-up" campaign:

  • Create flags: "Hot Lead" and "Follow-up Needed"
  • Assign these flags to relevant contacts
  • When creating the campaign, select both flags
  • The campaign will target all contacts with either flag

Managing Flags

You can edit, activate, deactivate, or delete flags as your needs change.

Editing Flags

To edit a flag:

  1. Go to Flags and find the flag you want to edit
  2. Click the Edit button (pencil icon) for that flag
  3. Update the name, color, or status as needed
  4. Click Save or Update to save changes

Note: Changing a flag's name or color doesn't affect contacts that already have the flag assigned. The flag assignments remain intact.

Activating & Deactivating Flags

You can temporarily hide flags without deleting them:

  • Deactivate: Set a flag's status to "Inactive" to hide it from dropdowns. Contacts with the flag keep it, but you can't assign it to new contacts.
  • Reactivate: Change status back to "Active" to make the flag available again.
  • Use Case: Deactivate flags you're not currently using but might need later, keeping your flags list clean.

Best Practices

Flag Creation

  • Keep It Focused: Don't create too many similar flags. A flag like "Hot Lead" is better than "Hot Lead 1", "Hot Lead 2", etc.
  • Use Clear Names: Flag names should be immediately understandable. "Do Not Call" is better than "DNC" or "No Call".
  • Document Meanings: Keep a record of what each flag means, especially if your team uses them. Consistency is key.
  • Start Simple: Begin with a few essential flags and add more as your needs grow. Don't overcomplicate from the start.

Organization

  • Regular Cleanup: Review flags quarterly and retire unused ones. Deactivate flags you're not using rather than deleting them immediately.
  • Consistent Colors: Use colors consistently (e.g., red for "Do Not Call", green for "Hot Lead") to build visual recognition.
  • Team Alignment: Ensure your team understands what each flag means and uses them consistently. Create documentation if needed.
  • Avoid Duplication: Before creating a new flag, check if a similar one already exists. Too many similar flags cause confusion.

Campaign Readiness

  • Pre-campaign Flags: Create flags that indicate campaign readiness, like "Opt-in Verified" or "Campaign Ready". Only include these contacts in campaigns.
  • Compliance First: Always use "Do Not Call" or similar flags to exclude contacts from voice campaigns. Compliance is critical.
  • Verify Before Campaigns: Before launching a campaign, verify that your selected flags have contacts assigned. Empty flags won't reach anyone.
  • Combine with Geography: Use flags together with geographic filters (state) for even more precise targeting.

Troubleshooting

Flag has no contacts assigned

What This Means:

  • New flag: If you just created the flag, you need to assign it to contacts. Edit contacts and add the flag.
  • Campaign issue: If using the flag in a campaign, the campaign won't have any contacts to reach. Assign the flag to contacts first.
  • Check assignments: Go to Contacts and filter by the flag to see if any contacts have it. If none appear, the flag needs to be assigned.

Checklist:

  • Flag is active: Only active flags appear in filter dropdowns. Check the flag's status in the Flags section.
  • Workspace check: Verify you're in the correct workspace. Flags are scoped to workspaces.
  • Contacts have flag: Ensure contacts actually have the flag assigned. Filter won't show results if no contacts have it.
  • Try different flag: Test with another flag to see if the issue is specific to one flag or a general problem.
