Contacts

Contacts are the foundation of your communication system. They represent people or entities you call, message, or interact with. Use contacts with flags, search, and filters to build precise audiences for campaigns, appointments, and AI assistants.

Adding Contacts

You can add contacts individually or import them in bulk. Here's how to add a single contact:

Step 1: Navigate to Contacts

    Go to Contacts: Navigate to Contacts in the main navigation menu.

    Click Add Contact: Look for the Add Contact button, typically at the top of the contacts list.

Step 2: Enter Contact Information

Required Fields

  • Name: The contact's full name or business name
  • Phone Number: Must include country code (e.g., +1 for US, +44 for UK). Format: +[country code][number]

Optional Fields

  • Email: Contact's email address
  • State: State or region (useful for geographic segmentation)
  • Brokerage/Company: Company or organization name
  • Flags: Assign one or more flags for segmentation (e.g., "Hot Lead", "VIP")

Phone Number Format: Always include the country code with a plus sign. Examples: +1234567890 (US), +441234567890 (UK), +61234567890 (Australia). The system will validate the format.

Step 3: Save the Contact

Click Create Contact or Save to add the contact to your workspace. The contact will immediately appear in your contacts list and be available for campaigns, appointments, and other features.

Bulk Import (CSV)

Import multiple contacts at once using a CSV file. This is the fastest way to add large contact lists.

Step 1: Download CSV Template

    Go to Contacts: Navigate to Contacts in the main navigation.

    Click Bulk Import: Find and click the Bulk Import button.

  3. 3

    Download Template: Download the CSV template file. This template has the correct column headers and format.

    Important: Do not rename or modify the header row. The system expects exact column names.

Step 2: Fill the CSV Template

CSV Format Requirements

  • Keep Headers Intact: Do not rename, reorder, or delete header columns
  • Phone Number Format: Include country code with + sign (e.g., +1234567890)
  • Required Fields: Name and Phone Number are required for each row
  • Optional Fields: Email, State, Brokerage/Company can be left empty
  • No Empty Rows: Remove completely empty rows before uploading
  • Encoding: Save as UTF-8 encoding to support special characters

Step 3: Upload and Review

    Upload CSV File: Click Choose File or Upload and select your filled CSV file.

    Review Validation Summary: The system will validate your file and show a summary:

    • Total rows processed
    • Successfully imported contacts
    • Rows with errors (and what the errors are)
    • Duplicate contacts (if any)

    Confirm Import: Review the summary and click Confirm or Import to complete the process.

    Only valid contacts will be imported. Fix errors in your CSV and re-upload if needed.

Managing Contacts

Once you've added contacts, you can search, filter, edit, and organize them.

Search & Filters

Use the search bar and filters to find specific contacts or build targeted lists:

Search

Search by:

  • Contact name
  • Phone number
  • Email address
  • State/region
  • Brokerage/company

Filter by Flags

Filter contacts by one or more flags to build targeted lists:

  • Select single flag (e.g., "Hot Lead")
  • Select multiple flags (e.g., "VIP" + "Follow-up")
  • Combine with search for precise targeting

Editing Contacts

To edit a contact:

  1. Find the contact in your contacts list (use search if needed)
  2. Click the Edit button (pencil icon) for that contact
  3. Update any fields: name, phone, email, state, brokerage, or flags
  4. Click Save or Update to save changes

Assigning Flags

Flags help you segment and organize contacts. You can assign flags when creating or editing a contact:

  • During Creation: Select flags from the dropdown when adding a new contact
  • When Editing: Add or remove flags when editing an existing contact
  • Multiple Flags: A contact can have multiple flags assigned (e.g., "Hot Lead" + "VIP")

Tip: Use flags strategically to segment your audience. For example, create flags like "Opt-in Verified", "Do Not Call", "Hot Lead", or "Follow-up Needed" to organize contacts for campaigns.

Best Practices

Data Quality

  • Normalize Phone Numbers: Always include country codes with the + sign. Use consistent formatting (e.g., +1234567890, not (123) 456-7890).
  • Validate Before Import: Check your CSV file for formatting errors, missing required fields, and invalid phone numbers before uploading.
  • Remove Duplicates: Periodically review and clean duplicate contacts. Duplicates can cause confusion and waste campaign resources.
  • Keep Data Updated: Regularly update contact information. Outdated phone numbers or emails reduce campaign effectiveness.

Organization & Segmentation

  • Use Flags Strategically: Create flags that align with your workflow (e.g., "Opt-in Verified", "Do Not Call", "Hot Lead"). Don't create too many similar flags.
  • Document Flag Meanings: Keep a record of what each flag means so your team uses them consistently.
  • Combine Filters: Use flags together with search and other filters to build precise campaign audiences.
  • Workspace Organization: Remember that contacts are scoped to workspaces. Verify you're in the correct workspace before importing.

Import Best Practices

  • Use the Template: Always download and use the CSV template provided. Don't create your own format.
  • Test with Small Files: For large imports, test with a small sample first to verify formatting and catch errors early.
  • Review Validation Summary: Always review the validation summary before confirming import. Fix errors and re-upload if needed.
  • Backup Your Data: Keep a backup of your original CSV file in case you need to re-import or reference it later.

Troubleshooting

CSV import fails or shows errors

Common Issues & Solutions:

  • Header names changed: The CSV header row must match the template exactly. Do not rename, reorder, or delete columns. Download a fresh template if needed.
  • Invalid phone format: Phone numbers must include country code with + sign (e.g., +1234567890). Remove spaces, dashes, or parentheses.
  • Missing required fields: Name and Phone Number are required. Ensure every row has both fields filled.
  • File encoding: Save your CSV as UTF-8 encoding to support special characters in names or addresses.
  • File too large: Very large files may take time to process. Wait for processing to complete, or split into smaller files.
  • Empty rows: Remove completely empty rows from your CSV before uploading.
Cannot find a contact

Checklist:

  • Wrong workspace: Contacts are scoped to workspaces. Verify you're viewing the correct workspace where the contact was added.
  • Search terms: Try different search terms. Search works on name, phone, email, state, and brokerage fields.
  • Filters applied: Check if any filters (especially flags) are applied that might be hiding the contact.
  • Contact deleted: The contact may have been deleted. Deleted contacts cannot be recovered.
  • Spelling variations: Try searching with different spellings or partial names.
Duplicate contacts in the list

How to Handle:

  • Manual cleanup: Search for duplicates and delete the extra entries. Keep the contact with the most complete information.
  • Prevent during import: Review your CSV before importing to remove duplicate rows. The system may flag duplicates during validation.
  • Regular audits: Periodically review your contacts list for duplicates and clean them up to maintain data quality.
  • Use search: Before adding a new contact, search to see if it already exists to prevent duplicates.
